Job Title: Development Office Coordinator

Schedule: M-F; 9am-5pm

Position Summary

AMC seeks to hire a Development Office Coordinator. This position is responsible for providing administrative support to the CEO and team of consultants, and coordinating various office support services including emails, appointments, and deadline calendars. The successful candidate will work collaboratively with the AMC team to assist with projects, including but not limited to coordinating schedules and activities, assisting with research, and database management.

Key Responsibilities

  • Perform general office duties, such as answering telephone calls in a clear and professional manner, organizing and handling information requests, ordering supplies, etc.

  • Manage timely email correspondence; organize and sort incoming communications to create an efficient system with priority order. Respond to email and voicemail in timely manner.

  • Proofread and prepare proposals and other professional documents using Word, Excel, Google Docs, Google Sheets and/or database software for AMC and client communications.

  • Manage and maintain deadline calendars and schedule deadline-associated tasks.

  • Manage efficient, easy-to-access filing system (paper and electronic), and maintain and organize files (hard copy, Dropbox and/or Google Drive).

  • Research foundation and grant databases for client and proposal needs.

  • Coordinate and collect information, including taking minutes if needed, for client and team meetings.

  • Track all hours/projects in Asana & Harvest (project/time management software).

  • Communicate with CEO and consultant team members daily.

  • Maintain confidentiality of all client information.

  • Other clerical and project support functions as needed.

Skills & Attributes Required

  • Computer/software proficiency, including Microsoft Office – Word, Excel, PowerPoint; Google Drive, Docs and Sheets

  • Effective writing skills, a love of words, and a strong affinity for proofreading/editing

  • Organizational skills and a keen attention to accuracy and detail

  • Strong customer service and listening skills

  • Aptitude to problem solve and manage up

  • Motivated and self-directed

  • Strong time management skills and ability to manage multiple projects

  • Adaptability and an ability to work with a small but impactful team

  • Natural curiosity – a desire to learn and an ability to engage with people

     

Preferred Technology Skills (previous experience a plus, but these can be learned)

  • Apple operating systems and software

  • Harvest timekeeping and Asana project management software

  • Foundation Directory Online

  • Salesforce, Bloomerang, Constant Contact, Mailchimp, ZenDesk, and others

 Qualifications

  • Demonstrated administrative abilities required.

  • Nonprofit fundraising and/or volunteer experience preferred, but not necessary. Ideal candidate will posses a keen respect for the nonprofit sector and desire to learn more about the critical work of our clients.

  • College degree preferred.

  • Previous experience in an office environment with the ability to ensure professionalism and confidentiality.

  • Very strong communication skills. Much of AMC’s work involves communicating complex ideas simply and effectively; all team members must demonstrate this ability.

Work Environment

This position works mainly within a San Francisco professional office, and also has the ability to work from home and/or work remotely from time-to-time. Professionalism and discretion are required. This role routinely uses standard office equipment such as computers, phones, and printers.

Salary Range

$45,000-$50,000
